Return & Refund Policy
Overview
We stand behind our products and operate with transparency. Due to the technical, safety-sensitive, and custom nature of many items we sell, some products are not eligible for return or cancellation. Please review this policy carefully before placing an order.
Important: Filing a chargeback does not cancel an order, stop shipment, or replace our return process.
Returns (Eligible Items Only)
We accept returns on eligible items only within 30 days of confirmed delivery.
To qualify, items must:

Be unused, uninstalled, and unaltered

Be in original packaging with all parts, manuals, and accessories

Be in resalable condition

Include proof of purchase (order confirmation or receipt)
How to Request a Return
To initiate a return:

Log in to your account and select the applicable order
Return authorization is required. Items returned without prior approval will be refused.
Return Fees
All approved returns are subject to:

15% restocking fee
-
$20 flat-rate return shipping fee (deducted from the refund)
Original shipping charges are non-refundable.

Manufacturer Special Order Items – Final Sale
All manufacturer special order items are final sale and non-returnable.
A manufacturer special order includes any product that is:

Ordered, allocated, built, or sourced specifically for a customer
-
Not stocked inventory
-
Ordered directly from the manufacturer at the customer’s request
Once a manufacturer special order is placed:
-
The order cannot be canceled
-
The item cannot be returned or exchanged
-
No refunds will be issued, even if unopened, unused, or uninstalled
Examples include (but are not limited to):

Hydronic heating systems and complete heaters
-
Build-to-order or made-to-order systems
-
Special-configuration or special-SKU items
-
Aqua-Hot, Webasto, and similar systems ordered from the manufacturer
By placing an order for a manufacturer special order item, the customer acknowledges and agrees the purchase is final sale.
Non-Returnable & Final Sale Items
The following items are not eligible for return, refund, or exchange:

Sale items and gift cards

Electronics that have been opened or installed

Unopened electronics may be eligible with photo proof of sealed packaging

Custom, personalized, or made-to-order products
-
Hydronic heating systems, heaters, and complete units
-
Hazardous materials (including flammable liquids or gases)
-
Perishable goods
-
Personal care or hygiene items
Delivery & Fulfillment
An order is considered fulfilled once the carrier confirms delivery to the address provided at checkout. Delivery may occur at a front door, porch, parcel locker, freight terminal, or carrier-approved secure location. Signature is not required unless explicitly selected at checkout.
Claims of non-receipt must be supported by a carrier investigation.
Damaged, Defective, or Incorrect Items
Orders must be inspected immediately upon delivery.
If an item arrives damaged, defective, or incorrect:

Contact us within 48 hours of delivery

Include photos of the item and packaging
We will evaluate the issue and provide a resolution in accordance with manufacturer policies.
Exchanges
We do not offer direct exchanges.
If an item is eligible for return:

Submit a return request

Return the approved item

Place a new order for the replacement
Refunds

Refunds are issued to the original payment method

Returned items are inspected before approval

Approved refunds are processed within 10 business days

Financial institutions may require additional time to post credits

Chargebacks & Disputes
Customers must contact Hydronic Heating Warehouse directly to resolve order or delivery issues before initiating a chargeback.
Chargebacks do not cancel orders or shipments.

Orders confirmed delivered by the carrier

European Union Customers
For orders shipped into the European Union, customers may cancel or return eligible items within 14 days of delivery, in accordance with EU consumer law.
Items must meet the same unused and original packaging requirements. Final sale and manufacturer special order exclusions apply where permitted by law.
